Work now flows on its own
The challenge
A UK training provider in the safety sector was running its business across a handful of disconnected tools — leads in one place, accounts in another, the course platform somewhere else again. Every new enquiry meant typing the same details in by hand, over and over: into the contact record, into a quote, into a booking, into the course platform.
It was slow, easy to get wrong, and it didn't scale. As the business grew, the admin grew with it — and more of the team's day went into moving information between systems instead of into the work itself.
What we built
A new enquiry now travels from first contact all the way to an enrolled delegate without anyone re-keying data along the way. Four parts, working as one:
- A CRM that fits how they work. One place to see every lead, enquiry and booking — set up around the team's real process, not a generic template.
- Quotes that create themselves. When an enquiry is ready, the quote is generated and sent automatically, with the figures kept consistent from screen to invoice.
- Accepted to enrolled, hands-off. Once a quote is accepted, the booking is created and each delegate is enrolled on the right course — no manual steps in between.
- An always-on AI assistant. A chat assistant answers prospective customers' questions, points them to the right training, and captures new enquiries around the clock.

Partway through, one of the connected platforms changed how it links to other software — the kind of change that can quietly break an integration overnight. We re-engineered that part of the system around the change without disrupting the rest of the build or the client's day-to-day. The work kept flowing while we did it.
The outcome
- No more re-keying. Manual data entry across the pipeline is gone. The team's time goes into the business, not into moving information between systems.
- One joined-up system. Tools that never spoke to each other now work as a single pipeline that passes work along on its own.
- Faster turnaround. Lead to enrolment moves quicker, with fewer steps and fewer chances to drop the ball.
- Owned outright. The whole system runs on the client's own infrastructure, fully documented and handed over — theirs to keep, run and develop.
